Building a dance list
This page is for whoever holds the office that builds dance lists. The offices table says which office that is. Being an admin isn’t enough on its own.
Starting one
- On the Lists tab, under Drafts, choose the event under Start one for.
- Press Start a dance list.
- Press + Add, in the corner of the sheet, and choose a dance.
- Say how many Sets are up at once, then press Add the dance. A set is one group doing the dance together.
Each dance on the list has two numbers under its name, which save as soon as you change them:
D per set: How many dancers each set needs, counting the caller.
Num sets: How many sets are up at once.
The same + Add box adds a heading or a place, to break the list up. Adding a row saves the list as well.
The arrows on a row move it up or down. Moves, and changes to the list’s title, are kept only when you press Save. Leaving with changes unsaved asks first.
Filling it in
Press Auto Fill, beside Preview. It puts somebody in every empty square that needs one, from who’s coming and what they’ve said on the Dances tab. It saves the list first, the same as adding a row.
Each dance gets:
- a full set, for each of its Num sets
- one C, the caller, where there are four or more in a set
- one M, leading the music
- one R, in reserve
- an m, also playing, for every other musician who’s said yes
It shares the work out evenly. For example, 12 dancers and 9 dances for six is 54 squares, so each of them gets 4 or 5.
Its letters have a dashed outline, so you can see which ones it chose. It never changes a square you’ve changed yourself.
A line at the top then says how many squares it filled. It also says which dances are still short, which have no C, and which it left alone because D per set shows a ?.
Who Auto Fill chooses
- Anybody who said yes comes before anybody who said maybe. A maybe is only used once there’s nobody else.
- Nobody goes in a dance they’ve marked Don't like, What's that?! or Needs teaching.
- It prefers people who’ve said Confident or Nearly there, and Love it or Happy to.
- Under duress, More practice and Refresher please make somebody less likely to be chosen, but don’t rule them out.
- Having said nothing about a dance doesn’t rule anybody out either.
- The C is chosen the same way. Nobody who’s said More practice or anything below it calls a dance.
- The M is whoever could best lead the dance’s tunes, from the Music tab. Somebody who’s said Could lead it comes first.
- Calling, leading and being the reserve are shared out evenly too.
Looking it over
While its letters have their outlines, Auto Fill is replaced by two buttons:
Accept: Keeps all of Auto Fill’s letters, as if you’d chosen each one. The outlines go, and the button goes back to Auto Fill.
Pick again: Chooses all of Auto Fill’s letters again, differently. Squares you’ve changed stay as they are.
Changing a square
Tap a square to give that person a letter for that dance: D, C, M, m or R. It saves straight away.
On a row with more than one set, choose Which set as well, so the square shows D1 or D2.
When you tap a square there are three more choices:
No: That person isn’t in that dance. The square shows a × while you’re building, and a blank to everybody else.
Clear: Leaves the square blank.
Leave it to Auto Fill: Hands a square you’ve changed back, so Auto Fill may change it from then on.
Anything you do to a square takes its outline away, and Auto Fill won’t change it after that. What each letter means, and how the totals count, is on the Lists page.
Once Auto Fill has been at a dance
Until you press Accept, it keeps that dance right as you change it. A dance you’re filling in yourself is left to you.
- Change one of its letters, other than an m, and it puts somebody else in straight away, if there’s anybody.
- Put one too many in a set, and it asks who comes out. It only offers people it chose. For a set of six, Leave it at 7 keeps them all.
- Change D per set or Num sets, and it fills the set up, or takes some of its own letters off to match.
- If a set needs somebody and nobody else is free, it moves its own R, or somebody it had playing along, into the set.
Publishing
Nobody else can open the list until you press Publish version 1, under Publishing. It then moves from Drafts to Coming up. Nothing is emailed, so let the side know it’s there.
A published list isn’t changed in place, so the side always reads it exactly as it went out.
Changing a published list
- Open the list, and press Make changes at the top.
- That makes version 2, a copy of the whole list, letters included. It’s under Drafts on the tab.
- Change it the same way you built it.
- Press Publish version 2, under Publishing.
Until then the side goes on reading version 1, which stays under Coming up. Publishing version 2 replaces it, and the list keeps its place on the tab.
There’s only one next version at a time. While there is one, the published list offers Open version 2 in place of Make changes. Remove this draft, at the foot of the draft, throws it away and leaves version 1 as it was.
Taking it back
Take it back to a draft stops the side opening a published list. Anybody who has already read it has still read it, though, so a new version is usually the better fix.
It isn’t offered while the next version is being drafted. Publish or remove that first.
Seeing it as everybody else does
Preview shows a draft exactly as the side will see it. Press Back to editing to carry on.
A draft that’s already under way opens that way too. A published list always opens as everybody else sees it, with Make changes at the top.
