Minutes

The Minutes tab is where the side keeps a record of its meetings: what was decided, and when.

Anybody signed in can write up a meeting, or correct somebody else’s minutes, just as anybody can answer for anybody on the ticksheet. Every edit is recorded under the name of whoever made it.

Writing up a meeting

  1. On the Minutes tab, press + Write up a meeting.
  2. The title, date and time are filled in for a practice meeting today. Change any of them that are wrong.
  3. Fill in the first section: a heading, and what was said under it.
  4. Press + Add a section for the next one, as many times as you need.
  5. Press Save.

The arrows on a section’s bar move it up or down. Nothing is kept until you press Save, and leaving with changes unsaved asks first.

Any web address you type becomes a link people can tap when they read the minutes.

Link an event: Under each section. It adds a link to an event that keeps up to date, so if the event’s name or date changes, the minutes show the new one.

+ Attach a file: Beside + Add a section. It’s for a file that belongs to the whole meeting, like the treasurer’s figures or a booking form.

A file goes up when you press Save, and goes out with the email as a proper attachment. To take one off, tick Remove on save and press Save.

Finding something

Search the minutes, on the Minutes tab, looks through every section of every meeting. The newest come first.

Sending them out

Email these minutes to the side sends them to everybody, attachments included. Make sure they’re ready first. Two things happen that can’t be undone: everybody gets a copy, and the minutes are locked from then on.

Minutes go to every member, even those who have turned their other emails off. Associate members never get them.

Once they’ve gone, the button becomes Send a copy to one person. Use it for somebody whose copy never arrived, or who has joined since. It sends to one person at a time, never to the whole side again, and changes nothing in the minutes.

Correcting them afterwards

Once minutes are locked, correcting them takes an office, and whoever holds it can press Unlock to correct. The offices table says which office that is. The correction shows in the history underneath.
